Responsibilities:
20%: Contributes to plans, project documents, briefs and reports under Programme 5 by identifying, summarizing and presenting relevant information in narrative form, in tables, as Power Point presentations. Editing, formatting and finalising UNICEF publications. Keeps accurate records of these activities and ensures follow up. Translates short relevant documents.
20%: Provides support for UNICEF’s work with Russian and international media, design and PR agencies, writers and editors: maintains contacts with Russian media and follows up on media requests; maintains and updates media database, distributes information products to the media, provides support to media events, media visits and interviews. Supports collection of information materials, including stories, photographs and videos. Helps to update UNICEF Russia website, uploads publications and news items on the website. May be required to undertake field trips to accompany journalists.
5%: Manages stocks of visibility materials and publications, coordinates distribution of the materials; establishes/maintains an up-to-date documentation centre for publications, press releases and clippings, as well as photographic and audio-visual materials.
25%: Provides logistical and organizational support on major advocacy initiatives in the RF, including drafting and editing of letters and documents, organization of workshops, press launches, international / high level meetings and visits, and assists supervisors to maintain continuous and effective liaison with governmental and non-governmental organizations. May need to undertake field visits to regions of Russia engaged in these initiatives.
10%: Provides support and guidance to counterparts in the formulation of cash/supply assistance requests, budgeting and financial/technical reporting. Verifies accuracy and completeness of project documentation submitted by counterparts. Advises counterparts on administrative queries. Ensures that ad-hoc partner requests comply with objectives of activities proposed in annual work plan (AWP) and highlights discrepancies to supervisor. Reviews financial and narrative reports provided by partners and highlights areas of discrepancy with agreed plan of project implementation. Maintains files and database on counterparts and their contact details. Monitors age of documentation for it to be sent to archives according to established guidelines.
10%: Prepares requests for goods and services on the basis of properly documented government and partners’ requests. Reviews supplies assistance requests, verifies them for compliance with cooperation agreements’ conditions and budgets. Provides administrative and logistical support to the organization and implementation of events including counterpart and staff travel and venue arrangements, and related contracts.
10%: Inputs and maintains programme-related data in PROMS (UNICEF’s Planning/Financial system), e.g. creates inputs, drafts/finalizes requisitions, ensuring consistency in using PIDB and GL coding, monitors PBAs. Finalizes and follows up payments, certifying adequacy of supporting documents. Produces periodic and ad-hoc financial reports for the office, HQ or donors.
Requirements:
•Technical or university courses in financial monitoring, economics and/or social sciences.
•Five years of progressively responsible from clerical to administrative work related to communications or programme management support.
•Fluent in English and in Russian.

•Ability to draft clear and succinct routine correspondence.
•Attention to detail and ability to thoroughly review reports and publications for discrepancies, language mistakes etc
•Knowledge of computer applications such as Word, Excel and Power Point.
