Under the supervision of the Senior Human Rights Adviser for the Russian Federation (Head of OHCHR Field Presence in Moscow), the incumbent will perform all the administrative and secretarial duties necessary for the support of OHCHR’s activities in the Russian Federation.
- Contribute to the implementation of OHCHR Moscow team’s overall work plan based on OHCHR’s Framework for Cooperation with the Russian Federation, displaying flexibility in her/his work as the situation and practical needs of the team may evolve;
- Undertake administrative arrangements for meetings, seminars, conferences, workshops, round tables and other activities, including interpretation and note-taking;
- Assist in the preparation of documentation including translation;
- Organize missions of OHCHR staff in Russia, to and from OHCHR Headquarters and other official travel as required;
- Prepare travel arrangements;
- Assist in the fulfillment of budget and financial tasks, drafting financial tables and reports, on a daily, monthly, annual and ad hoc basis;
- Perform routine general administrative functions, including operating office equipment such as fax and copier;
- Assist with telephone and written communications, including the drafting of routine correspondence related to the activities of the office;
- Process incoming and outgoing mail, incl. regular mail, fax, e-mails
- Maintain a comprehensive filing system and ensure the systematic filing of essential incoming and outgoing correspondence, communication and documentation (both paper and electronic);
- Perform other duties and office tasks, as required.
Qualifications and Requirements- High School or equivalent diploma. At least five years of progressively responsible administrative experience, of which three preferably within the UN or other International Organisations.
- Good interpersonal, communications and drafting skills. Full computer proficiency (office applications, internet), ability to operate fax, scanner, digital sender, other office equipment;
- Ability to work independently as well as in a team. Excellent organizational skills. Ability to work under pressure and to meet tight deadlines.
- Fluency in written and spoken English and Russian.
